Why it exists
Chris closed a $42,000 bathroom remodel in Fort Worth in 2024 and thought he'd hit a 30% margin. His accountant found 12%. The $7,500 difference was forgotten receipts. He built Job Cost Pro so that never happens again. Those are the only quotable story numbers.

What it does
Capture and costing
- AI receipt scanning — reads store, line items, tax, total, and the PO/job name, and suggests the job; one tap confirms it. Batch scanning: up to 25 photos at a time on Pro and higher, 5 on Free, each photo its own receipt; splitting one receipt across projects (Pro and up).
- Voice-to-expense in English and Spanish — it works in browsers with speech input, like Chrome and Safari, and in the iPhone app on version 1.0.8 or newer. Material returns detected and subtracted; payment-proof screenshots (Zelle/Venmo/check) read as labor payments.
- Profit and margin per job from the costs recorded so far, budget-overrun warnings, and change orders that adjust the effective contract amount.
AI on the job
- AI Bid Builder: from the project page, build a bid in a short conversation, typed or by voice. It uses the project's details (client name, address, tax and markup), fills any skipped answer with an industry-standard default, and makes a branded PDF. Free can use it on one project; Pro and up on every project. Uploading an existing bid document needs Pro or Contractor.
- Finished AI bids a month: Free 2 · Pro 10 · Contractor 30. Each bid the AI Bid Builder finishes counts once; deleting a bid does not give one back.
- AI chat: a chat on each job answers questions about that job's costs and can draft an invoice (a preview comes first); a business-wide chat compares jobs. A one-tap AI briefing (Pro or higher) sums up a job's costs and budget. Tell the AI a lasting fact, like your price per square foot, and it remembers it. Free includes a small allowance to try the chats; Pro and Contractor have no message count.
- Help chat (the in-app Help button): messages a month for the owner and, in brackets, each crew member: Free 25 (crew 15) · Pro 100 (crew 50) · Contractor 250 (crew 100). This count is separate from the AI chats above.
Crew, time and pay
- Free includes 3 clock-only crew seats with clock in/out and My Pay; Pro includes 10 full crew seats, subject to owner permissions; Contractor has no seat limit. Issue paycheck and Run payroll require Contractor, as do owner tools for crew organization, lunch overrides, day-rate approvals and payroll rules. Owner payroll CSV/PDF/YTD exports are available on every plan.
- Crews with a lead; the lead sees crew clock status and hours, never anyone's pay.
- Lunch recorded three ways — the worker taps Lunch on the clock, the minutes are typed on the edit-hours form, or the crew lead declares the crew's lunch for the day. Unpaid, deducted before overtime, and never deducted by default.
- Hourly or day-rate pay; day-rate days wait for owner approval and a paid day cannot pay twice. Weekly overtime is opt-in; flat pay is the default.
- The owner can add or correct an hourly worker's shift; overlapping hours are refused so the same time never pays twice.
- Nightly 8 PM digest in the owner's time zone (Contractor plan), plus alerts for a worker crossing the overtime threshold, a project nearing budget, and a client viewing an invoice.
- An owner who also works on another contractor's crew can clock into that contractor's job; the two companies' books stay separate.
- Run payroll records the whole crew's pay in one pass: a dry run lists the blockers first (a crew day with no lunch declared, a day-rate day nobody approved, a paid day off that also has worked time, a receipt payback that needs review, a shift that closed by itself because nobody clocked out, unless you choose to pay it as is); a shift still open does not block — it is left out of this run and goes on the next one once it ends; then each person's lines and the payment method — cash, check, Zelle or other — and one tap records every check. The app moves no money; the owner pays the way they always do.
- Every paycheck keeps its itemized lines — hours, overtime, day rate, a paid day off, out-of-pocket money paid back, an advance taken back — and each worker reads their own stubs in their portal, newest first, in their own language.
- Cash handed to a worker before payday is recorded once as an advance and comes off the next payroll run; voiding that check makes it deductible again.
- Workers can ask to fix a day they clocked wrong, forgot to close, or missed. The owner sees recorded versus asked-for and what it changes the pay by, then approves, edits, or declines with a reason; the worker is told either way and a day already on a paycheck stays locked.
- Tomorrow's plan puts crews or people on jobs with a start time, then sends each worker who uses the app a notification with their job, address and start time in their own language; it sends itself in the evening if the owner forgets.
- Payroll rules is one page for the company-wide pay rules: weekly or daily overtime and the threshold, the pay period and payday reminder, the lunch rules, the nightly digest switch, and the language workers are told things in.
- A job can carry a labor budget in hours or dollars: the owner is warned at 80% and again when it goes over, and Labor by job shows the month of crew hours and cost per job against it.
Location, and the privacy that goes with it
- Jobsite clock-in/out prompts on arrival and departure. Automatic clock-in (Contractor plan and up) is opt-in and consent-gated: the owner switches it on per worker, it never starts until that worker reviews a location disclosure in the phone app and agrees, every automatic clock event sends a notice with a 2-hour undo, and it clocks people in only between 6 AM and 8 PM local time — the same hours for every company.
- Employee location tracking is on by default for a business's crew, and the owner can turn it off. Once a worker agrees on their own phone and allows Always location, the phone records that worker's jobsite arrivals and departures and supply-store exits in the background, at any hour, even when automatic clock-in is off; automatic clock-in still needs the owner's per-worker switch.
- Supply-store visits prompt a receipt scan; a store stop during a shift is a material run, so the worker stays on the clock and the owner is notified on store exit.
- Worker location older than 90 days is deleted automatically; hours and pay records are kept.
Money out, and getting it to the accountant
- Creating an invoice is available on every plan; Free includes one AI invoice-creation trial per project; on Free it is saved as a draft without a share link, because public invoice links need Pro. The Send invoice email and Generate link actions require Pro; copying or sharing an existing link does not require a new send. A project client portal is available on every plan, subject to role and owner permissions; it shows the job's money — the contract (or, on an open-book job, the cost of work and the builder fee), payments and the balance due — plus job photos.
- An invoice the owner marks paid is locked — no automation recomputes it afterward.
- Every message the app wants to send a client waits for the owner to read it and tap Send; the app never contacts a client on its own.
- One-click tax package (P&L by project, 1099 summary, categorized expenses, receipts CSV, mileage log using the IRS rate for 2025 and 2026 trips; other years show no deduction) and QuickBooks-compatible CSV/IIF exports (Pro and up; Free includes one tax package a year).
Everything else worth knowing
- Approvals inbox — flagged receipts, worker-proposed project changes, and subcontractor submissions in one review screen.
- "Needs you" is one inbox for everything waiting on the owner: overdue invoices, receipts with no job, approvals, money owed to crew, long open shifts, crew fix requests, undeclared lunch, unaccepted invites, jobs over their labor budget. The evening digest reads the same list, so the push and the screen never disagree.
- Practice/demo data is flagged row by row and never counts in any real total, export, or report.
- Spanish on most screens (some screens and exports stay in English), and each worker can choose their own language.
- Role-based access enforced on the server: workers and foremen cannot see company financials. An admin can see them only if the owner enables View company financials.
- Reimbursable tracking, mileage at the IRS rate for 2025 and 2026 trips (other years show no deduction), subcontractor submission links with no login (Contractor), your logo on invoices and bids (Pro and Contractor), custom colors and tagline (Contractor plan), audit log (viewing it: Contractor), and account deletion from Settings → Security → Danger zone (type DELETE to confirm; when the owner deletes, the business data and uploaded files are removed; when a crew login deletes, only that login and its own data go, and the business keeps its records of the work).
