Job Costing in QuickBooks: How Far It Gets You

Short answer: yes, QuickBooks can do job costing. QuickBooks Online has Projects; Desktop has jobs under customers. Tag every expense, bill, and timesheet to the right project and QuickBooks will happily show you profitability per job. Your accountant will love it. The catch isn't the software — it's where the data comes from.

What QuickBooks does well

  • Project profitability reports — once costs are tagged, income minus costs per project is right there.
  • The books tie out— job costs live in the same system as your P&L, invoices, and taxes. No double bookkeeping.
  • Your accountant already knows it — no retraining, no exports, no arguments.

Where it breaks down on a real job

QuickBooks assumes the data gets entered. Somebody still has to take the crumpled Home Depot receipt and key it in — vendor, amount, category, project. At a desk that's a minute. From a job site it's a someday, and someday is how I once leaked $7,500 of margin on one bathroom. QuickBooks also can't tell you your margin todayunless today's costs are already in — which on most job sites, they aren't.

The other gap is the field itself: no receipt scanning built for the trades, no voice logging with your hands on a pipe, no GPS clock-in tied to the job. It's accounting software. It was never supposed to ride in the truck.

Use both, each for what it's built for.
