The bigger cost is not the rounding. It is the reconstruction. The breadcrumb model is common in fleet-tracking software built for delivery vehicles, and it gets carried into some crew apps without much thought about what it means for a person, not a truck. A prompt-based model asks a much narrower question: are you at the jobsite right now, yes or no. That is the model I wanted for my own crew, and it is the one the app defaults to.
The one-tap prompt, step by step
This is what a worker actually sees on a normal day, with the default setting on:
- Arrival.The worker's phone recognizes it has reached the jobsite the owner set up and shows a clock-in prompt.
- One tap. The worker taps to confirm. That is the whole action — no form, no typing a job number.
- The shift runs. Nothing else happens automatically while the worker is on the clock. Lunch and any store run get logged separately, covered below.
- Departure. When the worker leaves the jobsite, a matching prompt appears to clock out. One tap again.
- Forgot to tap? A 12-hour backstop closes any shift that never got a clock-out tap, so a forgotten prompt cannot silently run all night and pay for hours nobody worked.
That is the entire default experience. The worker stays in control of every tap, and the phone does nothing on its own beyond showing the prompt at the right moment.
The automatic option — and exactly what a worker has to agree to
Some crews would rather not tap anything at all, so a fully automatic clock-in exists — but it is opt-in, not a default, and it is consent-gated at every step:
- The worker reads a location disclosure first. Automatic clock-in does not turn on until the worker has read what it does and agreed to it. Nobody is switched onto it without knowing.
- Every automatic clock event sends a notice, with a two-hour undo. If the app clocks someone in or out automatically and it is wrong — the worker drove past the jobsite without stopping, say — there is a two-hour window to undo it before it is treated as final.
- It only runs inside the company's set work hours.Automatic clock events do not fire at 9pm on a Saturday because a worker's phone happened to pass the jobsite. It is scoped to the hours the company actually operates.

Lunch and overtime — the boring math
This is the part nobody wants to read and everybody eventually needs, so here it is plain. Lunch gets recorded three ways: the worker taps a Lunch button on the clock, the minutes get typed on the edit-hours form after the fact, or the crew lead declares the crew's lunch for the day in one entry. However it gets recorded, lunch is unpaid and it is deducted before overtime is calculated — and it is never deducted by default unless one of those three things actually happened.
Say a worker clocks 9 hours on a Tuesday with a recorded 30-minute lunch. Paid time for that day is 8.5 hours, and the 30 minutes comes off before anyone looks at whether the week crossed 40 hours. Overtime itself is opt-in at the company level — a lot of small crews run flat day rates or straight hourly with no overtime multiplier, and flat pay is the default until an owner turns weekly overtime on.
Pay itself can run hourly or day-rate, whichever fits how you actually run the company. A day-rate day waits for the owner's approval before it posts, and the same paid day cannot get counted twice — a small guardrail, but the kind that matters once you are trusting a system with real pay instead of a spreadsheet you built yourself. What the owner sees at 8pm
Every night, the owner gets a digest: who clocked in, who clocked out, how many hours landed on which job that day. No spreadsheet to build, no group text to reread. If someone crosses into overtime territory, or a project is closing in on its budget, that shows up as its own alert rather than waiting for the nightly summary — and labor hours landing on the right job is exactly the input a real overheadand margin number depends on. On a crew with a lead, the lead sees the same clock status and hours the owner does — never anyone's pay. That split exists on purpose: a lead needs to know who is on site and for how long, not what each person makes.
Privacy: what the company can and cannot see
This is the section I think matters most, because a time clock is the one piece of software that touches a person's actual movement, not just their paperwork.
- No breadcrumb trail. As covered above, the default model is a prompt at arrival and departure, not a continuous log of everywhere a phone goes during the day.
- Up to five private quiet spots.A worker can mark up to five places — home, a kid's school, wherever — where off-hours alerts stay silent. The company can never see them, and they never change anyone's hours or pay. They exist purely so a worker is not getting pinged near personal places on their own time.
- 90-day location deletion. Worker location data older than 90 days is deleted automatically. Hours and pay records are kept, because those are the business records that matter long-term — the raw location data that produced them is not.
