Record what you paid your crew, check by check
Job Cost Pro is not a payroll service. It does not move money or file taxes. It keeps the record: who worked which day on which job, what they are owed, and what you paid them.
Hours turn into pay
On the Contractor plan, crew hours turn into pay the way you set them up: hourly or a day rate, overtime, and unpaid lunch taken off.
Day-rate workers get a flat amount for each worked day. You approve worked days, or add them yourself, and approved days go on the next paycheck. A day that has been paid can't be paid again.
Close out a pay period
Choose a pay-through date and preview each check before you confirm. When you record the whole crew's checks at once, the app first lists anything in the way, for example a day with no lunch answer or a day-rate day still waiting on you, and it has to be fixed before anything is recorded.
Then record how you paid each worker: cash, check, Zelle or other. The app marks the check paid. It moves no money; you pay each worker your usual way.
Advances, receipts and days off
Record an advance when you hand over the money, and it comes off that worker's next check. Recording an advance moves no money.
Receipts a worker paid for out of pocket can be reimbursed on their check, and paid days off you mark are paid on it.
Pay stubs your crew can read
Each worker can read their pay stubs on their phone, every line down to the cent, in their language. A worker sees their own pay and stubs unless you turn that off for them, and never anyone else's.
Ready for tax time
In a year with paychecks, the tax package adds a separate file of crew pay by paycheck. It also has a 1099 summary, but that is built from the labor payments you log on jobs. Crew paid by paycheck are not on it, because the app cannot tell whether a worker is an employee or a contractor.
The app organizes the numbers. It files nothing.
Questions
Is this a payroll service?
No. It records hours, pay and what you paid. It does not move money, withhold taxes or file anything.
Which plan has crew pay?
The Contractor plan: paychecks, pay periods, day rates, overtime and lunch rules.
Can my crew see their pay?
Yes. By default each worker sees their own hours, pay and stubs on their phone, and you can turn that off for a worker. Never anyone else's.
How do day rates work?
Set a flat amount per worked day. Worked days wait for your approval, or you add them yourself, and a day that has been paid can't be paid again.
Can I give a worker an advance?
Yes. Record the advance when you hand it over, and it comes off that worker's next check. Recording it moves no money.
